Organisations
An organisation is a shared workspace: its own notebooks, its own members, its own billing, and its own credits. Use one when work belongs to a team rather than to you.
Personal and organisation are separate
Section titled “Personal and organisation are separate”This is the single most important thing on this page, because nearly every confusing moment traces back to it.
| Personal | Organisation | |
|---|---|---|
| Notebooks | Yours | The organisation’s |
| Memory and transcripts | Yours | The organisation’s |
| Credits | Your balance | The shared pool |
| Billing | Your card | The organisation’s |
| Who sees it | You | Members, per their access |
Nothing crosses. A note saved in your personal workspace is not in the organisation’s, and a memory Kyra stored while you worked in the organisation is not in your personal memory.
Opening an organisation URL switches you into it automatically.
| Role | Can |
|---|---|
| Owner | Everything, including billing and deleting the organisation |
| Admin | Manage members, security groups, and notebooks |
| Member | Work in the notebooks they have been given access to |
Manage people in Organisation settings → Members: invite by email, change a role, remove someone, cancel a pending invite.
Being a member of the organisation does not by itself grant access to its notebooks — that is separate, and deliberately so.
Security groups
Section titled “Security groups”Rather than adding people to notebooks one at a time, put them in a group and give the group access to the notebook.
Organisation settings → Security groups to create and populate them. Then, in the notebook’s Access settings, assign a group and give it a role: viewer, editor, or admin.
Someone joining the group gets everything the group has. Someone leaving loses it. This is what stops access drifting out of date as people move around — which it always does when it is maintained per notebook.
Only notebook owners and admins can assign groups.
Shared notebooks
Section titled “Shared notebooks”Organisation notebooks work exactly like personal ones — same editor, same Markdown, same history, same branches, same publishing. They are owned by the organisation rather than by a person, so they survive that person leaving.
Billing
Section titled “Billing”Organisation plans are per seat with a shared credit pool. Work anyone does in the organisation workspace draws on it.
Organisation settings → Billing. Owners manage the subscription; the credit balance is visible to those with access to it.
Working across both
Section titled “Working across both”Many people have a personal workspace and one organisation. A practical division:
- Personal — anything of your own, half-formed thinking, notes you would take with you.
- Organisation — anything colleagues should be able to find, and anything that should outlive your involvement.
Switch deliberately. Kyra tells you which workspace it saved into, which is worth listening for.
Leaving
Section titled “Leaving”Remove yourself, or ask an admin to. You lose access to the organisation’s notebooks; your personal workspace is untouched.
An owner leaving needs to transfer ownership first — an organisation without an owner has nobody who can manage its billing.
