Sharing a notebook

Notebooks are private by default. Nobody sees one until you say so — and a private notebook does not reveal that it exists to someone who guesses the URL.

There are three ways to let someone in, in increasing order of trust.

Members & Sharing → Create share link. Anyone with the link can read the notebook. Set an expiry, or leave it open-ended.

Right for: sending a reference to someone outside your world, a client, a link in a message you do not want to gate.

Revoke a link at any time and it stops working immediately.

Members & Sharing → Invite by email.

Invitations expire after 48 hours. You can change a role, remove a member, or cancel a pending invite at any time.

Right for: actual collaboration, where you want to know who has access and be able to take it away one person at a time.

In an organisation, assign a security group to a notebook and give the group a role. People join and leave the group; notebook access follows.

Access in the notebook’s settings. Owners and admins only.

Right for: teams where “everyone in support can read this” should not be a list you maintain by hand.

You do not have to share a whole notebook to share one note. Send a single note, either read-only or editable, and the recipient sees that note and nothing else.

Editable note shares are how you get a colleague to fix a paragraph without giving them your notebook.

Shared notebooks appear under Shared with me.

  • Read the notebook, not the note. Sharing gives access to everything in it — including old drafts and the note you forgot was in there.
  • Check what Kyra put there. Voice capture is casual by design; a notebook you have been dictating into may contain more than you remember.
  • Never keep secrets in a notebook. API keys, passwords, and recovery codes do not belong in notes, shared or not. See your data.
  • Prefer members over links where you can. Named access is revocable per person and tells you who actually has it.
